What was the starting point?
In aviation, HR processes depend on flight operations: per diem and travel entitlements vary by duty station, flight premiums and taxation are calculated under rules specific to flight crew, and shift and leave planning must be aligned with flight data. The company needed a team that could run these rules reliably within SAP HCM and evolve the system together with it as operations changed.
How are travel and per diem processes managed?
Travel management accounts for the largest share of the support. Domestic and international per diem request and approval applications, the staff discounted ticket process, and meal and per diem calculations were developed with Fiori and web screens; per diem amounts are reflected in payroll and on the payslip.
On the payroll side, flight premium calculations, flight crew taxation, life insurance and tax refunds, severance liability calculations, the salary increase program, SGK (Social Security Institution) contribution base carryovers and e-declaration updates are handled by the same team. Differences between payroll and finance postings are also reviewed within this scope.
Which projects were delivered beyond support?
Fiori applications were developed for employees: personal data, pay slip, leave request, overtime approval, probation period evaluation and exit forms. Transfer of flight and crew data into shift planning, integrations with maintenance and recruitment systems, and HR document management were set up. Country-specific leave types and multilingual employment certificates were prepared for the company structure across multiple countries; a HANA migration, an authorization audit, and compensation and reporting work on SuccessFactors were also carried out.
Where does it stand today?
Travel, per diem, payroll and shift processes run in a single SAP HCM structure; employees and managers handle their requests through Fiori applications. Every change arising in operations or regulations is analyzed and deployed by the team that supports the system every day.
Assessment
Because per diem, premium and shift rules are interlinked in aviation, having a single support team manage them, rather than separate teams, preserves consistency. A regular and controlled flow of flight data into the HR system is a prerequisite for payroll accuracy.
