What was the starting point?
The company's payroll, time management and travel processes ran on on-premise SAP HCM. Work schedules on the shop floor, rules specific to R&D staff and various benefits were managed in this setup. The company decided to bring employee data, time records and payroll together in a single, connected flow in the cloud.
How is the cloud transition designed?
On the Employee Central side, workbooks are prepared together with the customer, applied to the system in iterations, and employee data is migrated into this structure. Time Tracking is used to set up work schedules, leave types and day calculation rules; leave data is being prepared for migration.
Local payroll rules are being adapted in Employee Central Payroll. Through the integration between Employee Central and ECP, employee data flows to payroll and Time Tracking records flow to ECP as time and attendance; missing data is identified and payroll checks are repeated.
What does support cover in the current system?
SAP HCM payroll support continues during the transition: incentive applications, adjustments under new law numbers, meal and child allowance rules, duty allowance, income tax exemptions, pay slip and payroll summary adjustments, the bank payment file and new-year parameters. Account mappings in the payroll-to-accounting integration are being reviewed.
Enhancements are being made to Fiori applications for travel and expense; budget and bonus calculations, hire and termination and personnel transfer reports, leave quotas and termination notifications are also in the support scope.
Where does it stand today?
Employee Central, Time Tracking and ECP work is progressing through go-live steps, while the existing SAP HCM payroll continues to run every month with the same team's support. Change requests are tracked as a separate line item.
Assessment
For manufacturers moving to cloud payroll, how time records will flow into payroll should be designed as early as Employee Central. Having the team that supports the current payroll on the project makes it easier to carry legacy rules into the new system completely.
